Pak Mission Society (PMS) is a national relief and development organization established in 2004 and registered under the Societies Registration Act XXI of 1860. PMS serves unreached and underprivileged communities across Pakistan through interventions in Disaster Response, Health, Education, Livelihood, WASH, and Youth Development, ensuring transparency, dignity, and inclusivity.
1. Job Purpose
The Support Staff will provide day-to-day administrative, logistical, and office support to ensure the smooth and efficient functioning of the Faisalabad office. The position will assist staff members with office operations, maintaining cleanliness and organization, handling routine errands, supporting meetings and events, and providing general operational assistance as required.
2. Key Responsibilities
Office Support
- Maintain cleanliness, tidiness, and proper organization of the office premises.
- Ensure meeting rooms and common areas are prepared for meetings and visitors.
- Assist staff with photocopying, printing, scanning, filing, and distribution of documents.
- Maintain basic office supplies and inform the supervisor when supplies need replenishment.
- Support the organization and storage of office records and materials.
- Assist with receiving and distributing official correspondence and documents.
Administrative & Logistical Support
- Provide assistance during meetings, workshops, trainings, and other office events.
- Arrange refreshments, seating, stationery, and other logistical requirements for meetings and events.
- Assist in purchasing and collecting routine office supplies and materials when assigned.
- Support staff with photocopying, dispatching documents, and other routine administrative tasks.
- Assist with loading, unloading, moving, and arranging office materials when required.
Office Errands & Coordination
- Deliver and collect official documents, letters, and other materials from relevant offices or organizations.
- Assist with banking, courier, postal, utility, and other routine office errands as assigned.
- Coordinate with vendors, suppliers, and service providers when required.
- Assist in ensuring that office facilities and equipment are properly maintained and report any issues to the supervisor.
General Support
- Provide support to program and administrative staff as requested.
- Maintain confidentiality of official documents and information.
- Follow organizational policies, procedures, and security requirements.
- Perform any other reasonable duties assigned by the supervisor.
3. Required Qualifications
- Minimum Primary education (Grade 5); higher qualification will be preferred.
- Previous experience in office support, administration, hospitality, NGO/development organizations, or a similar environment is preferred.
- Basic understanding of office procedures and workplace etiquette.
- Ability to communicate effectively in Urdu and Punjabi; basic English communication is desirable.
- Basic literacy and numeracy skills.
- Ability to work responsibly, respectfully, and professionally with staff and visitors.

Internal:
Project staff, administration, finance, management, and other office personnel.
External:
Suppliers, service providers, couriers, partner organizations, and visitors as required.
7. Duty Station
Faisalabad Office, Punjab, Pakistan
The position may occasionally require travel within Faisalabad for official errands, document delivery, procurement, meetings, or other operational requirements.
