Job Title: Finance Officer

Duty Station: Head Office
Reporting To: Director Operations
Position Description: Overall management of Head Office financials

Key Responsibilities

1. Financial and Donor Reporting

  • Prepare periodic and other financial reports of the Head Office as and when required by the supervisor.
  • Ensure proper management and maintenance of financial records at Head Office.
  • Support the preparation of financial information and reports required for donors and management.

2. Review of Bookkeeping

  • Prepare payments to vendors and suppliers at Head Office.
  • Prepare final settlements of regional staff and employees.
  • Prepare Health & Wellness Plan workings for final disbursements to employees.
  • Review bookkeeping entries and supporting documentation to ensure accuracy and compliance with organizational policies.

3. Monthly and Annual Closing

  • Ensure timely closing of monthly accounts.
  • Ensure timely closing of annual accounts.
  • Review account balances and identify and resolve discrepancies before closing.

4. Bank and Tax Reconciliation

  • Prepare monthly reconciliation of all bank accounts.
  • Review and resolve discrepancies between bank statements and accounting records.
  • Coordinate with relevant departments for timely resolution of outstanding transactions.

5. Compliance with Laws and Regulations

  • Ensure withholding of taxes at government-stipulated rates and subsequent timely payment of taxes into the government treasury.
  • Ensure EOBI payments at government-stipulated rates and timely payment of system-generated EOBI vouchers through the bank.
  • Ensure compliance with organizational policies and applicable laws and regulations while processing day-to-day financial transactions.
  • Maintain proper documentation and records to support statutory and regulatory compliance.

6. Facility Visits

Conduct financial and compliance visits to facilities, including Schools, CHCs, WFPs, and other locations as required.

Review financial records and practices during facility visits.

Prepare and submit visit reports with observations and recommendations.

7. Income Reporting and Reconciliation

  • Ensure proper recording of income received from donors.
  • Ensure proper recording and reconciliation of CHC OPD, laboratory, and screening camp income.
  • Ensure timely deposit of CHC-generated income into the designated bank accounts.
  • Prepare and submit income reconciliation reports.

8. Audit and Bank Coordination

  • Facilitate internal and external audit activities at Head Office and regional/facility locations as required.
  • Provide financial records, supporting documents, and explanations required by auditors.
  • Maintain correspondence with banks regarding day-to-day transactions, signatory replacement, cheque book collection, bank statement collection, pay order transactions, and online transaction processing.
  • Ensure timely resolution of banking-related issues and queries.

9. Hybrid and Remote Working

  • Effectively perform financial and accounting responsibilities in hybrid and remote working environments.
  • Maintain timely communication and coordination with regional teams, management, banks, vendors, and other stakeholders through digital communication platforms.
  • Ensure secure handling, sharing, and maintenance of financial records and confidential information while working remotely.
  • Demonstrate the ability to independently manage assigned tasks, meet deadlines, and maintain productivity in a remote or hybrid work environment.

10. US Accounting Cycle & Financial Practices

  • Demonstrate working knowledge of the US accounting cycle, including recording transactions, journal entries, posting to the general ledger, preparation of trial balances, reconciliations, adjusting entries, and financial reporting.
  • Understand basic US accounting principles and financial reporting practices.
  • Apply knowledge of US accounting processes where required for donor-funded projects, international reporting, or organizational financial requirements.
  • Support month-end and year-end closing activities in accordance with applicable accounting procedures.

11. Other Responsibilities

  • Perform any other finance-related assignment assigned by the Supervisor/CFO from time to time.

Minimum Requirements

Qualification: MBA / M.Com / ACCA / CA (Part Qualified) or equivalent relevant qualification.

Experience: 3–4 years of relevant professional experience, including at least 2 years of experience in a Non-Profit Organization/NGO in a similar capacity.

Accounting Software: Proficiency in SAP Business One is required.

US Accounting Knowledge: Working knowledge of the US accounting cycle and accounting practices will be an added advantage.

Hybrid/Remote Work Experience: Prior experience working in hybrid or remote working environments, with the ability to independently manage financial responsibilities and coordinate with geographically dispersed teams.
