Scope of Work

The Finance Officer will ensure effective financial management of the School Meal Project, including budgeting, expenditure tracking, cash flow management, donor compliance, and financial reporting. The role supports transparent and accountable use of funds to ensure smooth and timely delivery of school meals across project sites.

Key Responsibilities

  • Maintain accurate financial records for all School Meal Project transactions in line with the organizational policies.
  • Process payments, advances, procurement bills, and staff reimbursements after proper verification.
  • Ensure timely posting of transactions in the accounting system.
  • Manage project budget, cash forecasts, and expenditure tracking.
  • Maintain cash books, ledgers, and project financial files.
  • Prepare Monthly, Quarterly, and Annual financial reports for internal management and donors.
  • Support audits by preparing required documents and responding to audit queries.
  • Reconcile bank statements, vendor accounts, and petty cash.
  • Ensure compliance with donor requirements or standards, organizational financial policies, and national regulations.
  • Verify supporting documents before processing payments.
  • Maintain vouchers, receipts, invoices for audit.
  • Ensure timely payments to suppliers, kitchen vendors, and transport.
  • Maintain a strong internal control system to safeguard assets and prevent fraud.
  • Ensure tax deductions (income tax, sales tax, WHT) are calculated and deposited on time.
  • Coordinate with procurement and logistics teams to ensure proper documentation for food purchase, distribution, transportation, and meal production.
  • Verify documentation for kitchen equipment, food commodities, and supply chain expenses.
  • Ensure proper financial tracking of meal distribution across schools.
  • Conduct field visits to verify transactions, check meal distribution records, and support school finance documentation.
  • Review partner/school expenditures and liquidations when applicable.
  • Work closely with Admin, HR, operations , logistics & Procurement, and School Meal Implementation teams.
  • Support donor communication with timely and accurate financial data.
  • Participate in coordination meetings and provide financial updates.

Required Qualifications & Experience

  • Bachelor’s degree in Finance, Accounting, Commerce, or related field (master’s preferred).
  • Minimum 3–5 years of finance experience, preferably in NGO/humanitarian or donor-funded projects.
  • Experience working on food assistance, school meals, or nutrition projects is preferable.
  • Strong knowledge of accounting principles, audit support, and donor compliance.
  • Proficiency in MS Excel, accounting software.
